Seven smart tips for smart time management

Seven smart tips for smart time management

Learn how to manage time is probably the hardest thing to do. No impossible though! Time can be elastic if we know some basic tips to organize ourselves. Here are the seven smart tips we all use at Internalia!!!

  1. To do list. It has to be the first step. Don’t start your working day without doing the list first of all. Maybe you think that is all in your mind. But it is not!
  1. Prioritize! Try to discern which tasks you should solve first. And try to solve it during the morning when you still have plenty of energy!
  1. Set up appointments with yourself. These are the most important appointments in fact! Respect your own time.
  1. Define one specific hour to check out your email. Twice a day is more than enough, we suggest, first hour in the morning and first hour in the afternoon.
  1. Place breaks in your plan. Your brain needs to rest, don’t wait to be totally exhausted. In 8 hours you should have a couple of breaks. Try to do something that helps to relax your mind (don’t go straight to check WhatsApp). Go out for a coffee. Do ten minutes yoga. Eat something healthy. Small walk. Whatever it helps you to disconnect!
  1. Check your list every time you need to remember what’s next. And very important, check it out at the end of your working day. Did you complete all your tasks or at least majority of them? If you couldn’t, don’t waste your time blaming yourself. Just ask yourself why you didn’t and what you can improve tomorrow!!!
  1. If you work on remote, use tools to communicate with the head office and schedule together your tasks. Working Day Suite is not only our best seller, it is our day by day favourite tool! We use it every day to communicate between us. One of the main benefits of using WDS is precisely the capacity of saving time.
About smart work and smart tools

About smart work and smart tools

It’s quite difficult to define what smart work is. A possible definition is a way to work where the number of hours is not the key factor, is a way to work where hours are managed differently, where we use creativeness and explore new possibilities. Where we feel free to improvise in order to get better results.

The people who knows how to work smart normally have these characteristics: creativeness, emotional intelligence, time management skills, understanding the circumstances, positive attitude, thinking before acting, innovative spirit, being proactive, emotional control, ability to network and asking for help, setting limits, agile, adaptable and generous.

Companies should try to facilitate the long way from hard work to smart work for the good of companies, managers, employees, etc. In short, for the common good.

One of the ways to facilitate this is giving the right tools. At Internalia we call our business applications: Smart Business Applications. And it’s not a coincidence at all! Our applications are designed to improve the employee’s organization, save time and improve communications between head offices and remote workers.

We have plenty of examples among our clients, but we truly love this video about how this happens every day in the bamboo plantations in Guatemala thanks to Working Day Suite.

Don’t wait any longer and start to work smart!

Great experience for Internalia Group at the Telco Cloud Forum

Great experience for Internalia Group at the Telco Cloud Forum

Internalia group was in London last week and we couldn’t be happier with our experience there! The Telco Cloud Forum is an exclusive event just for telcos and providers in the heart of London. It’s basically a two days event, where networking is the key question. We were in fact one of the sponsors in the Telco Cloud, we had our stand there and we had the opportunity as well of being part of the panel discussion about how telecom cloud providers will evolve over the next five years.

Thanks to the very specialized event’s nature, we had a very positive experience. We had the opportunity of talking to key persons for our company, negotiate new projects and ideas for the future, exchange opinions about the closest future and how cloud providers and telcos should interact.

This is a very interesting topic for us, in fact, everything in our best seller Working Day Suite is storage in the cloud, which is completely safe and handy for our final client.

It was great to talk to all these people coming from every corner in Europe and we want to highlight here the importance of networking to meet new potential customers or partners, but also to collaborate with other complementary companies in order to grow, to cooperate, to construct a healthy business environment.

Here is a short piece of our CEO speech in the panel discussion.

Looking forward the next event!

The importance of using the 3R in the office and outside the office.

The importance of using the 3R in the office and outside the office.

Our Smart Business Apps fulfill the 3R: reduce, reuse and recycle. Basically our apps reduce the paper waste and energy consumption, reuse a tool that the companies already have, the employees smartphones, and recycle the information: is stored in the cloud and is always there, accessible for the head office.

In short, we want to be responsible and sustainable and we want to help others to do it as well with our Smart Business Apps!

Obviously the environmental impact of industrial companies is much bigger if we compare with offices, but still, we have to be aware of how much damage we can make to the environment and society.

The environmental impact in offices is basically about:

  • Energy consumption
  • Travel consumption
  • Paper waste

We help you to reduce energy and travel consumption and about the paper we reduce the level to zero. As we said before, everything is stored in the cloud.

About the society aspect of it, we help as well in improving quality of life:

  1. The director or supervisor lost the uncertainty : with our best seller Working Day Suite, they have real information in real time to work with and make decisions.
  2. The employee is more effective now and reduces travel hours, related costs and energy consumption. They can optimize their time better.
  3. The relationship between head office and remote employees improves dramatically because the reduction of misunderstandings thanks to the accurate real time information: healthier work relationships.

Every small change in our behaviors, in our daily tasks, counts in the environmental protection. We are specially proud of being part of all this green revolution and we want to highlight the importance of using the 3R in our personal and professional life and, remember, that every small step counts!!! 🙂

The difference between communication and control

The difference between communication and control

One of the big questions we use to hear at Internalia, it’s about our best seller, Working Day Suite. Is it a tool to control the employees? Maybe the team is going to be against the application? Are they going to think that we mistrust them?

And the answer is, yes, it can happen. But it depends totally, one hundred percent, on the head office communication work.

Once you decide to get WDS is crucial that the managers explain to their employees how the application works and, above all, which the application main purpose is: exchange of information, better communication, efficient organization, etc.

When you are in the office and your whole staff is working in the office as well, you probably can have reliable information of your employees straight away, probably you can just go to your employee desk and ask how you are getting on.

However, when part of your staff or the vast majority is working abroad, it’s more complicated to get this kind of simple, but essential day by day information.

With WDS everything is easier, you can see in fact the routes they are taking, the calls they are doing, the forms they are sending, etc. But it is not about control, it is about getting accurate information.  Some of the common benefits for staff and management are:

  • It makes easier the collaborative work.
  • Centralization of information.
  • The employees can send proof of their work in a very simple way.
  • Everything is stored in the cloud for 365 days.
  • Working Day Suite has the 3R: reduce, recycle and reuse.

In short, Working Day Suite is a tool to make easier everybody’s working life.  Just talk to your employees about the common benefits. In no time they will be comfortable with the application (very intuitive and easy to use) and everyone will have a better working life!

What’s handier: traditional agendas or business applications?

What’s handier: traditional agendas or business applications?

When you are working, especially if you work on your own, to have an agenda is key to success. An agenda to mark your meetings, to make to do lists, to remind you important tasks, etc. Basically, to be organized and to have control of what are you doing in your day by day.

But nowadays we have an alternative to the classic agenda: the business applications. The main difference here is that you can share information and schedules with others: with your managers and colleagues. Basically, it makes everything easier.

The best example is our Working Day Suite. When a task is done you can send, in just one minute, a form through the application, you can have a shared calendar with your managers, so they can see all the meetings your attending, if you work with catalogue you can have the whole catalogue in your phone, so you have just to tick the new orders and the head office can see them immediately. And so on!

Basically it saves a lot of time. Think about the old way! Let’s say that you have an important meeting. First of all, you have to write it down in your agenda, second attend the meeting and finally you have to write an email to your boss informing about the meeting. With Working Day Suite is all much quicker and effective. You don’t lose information (everything is on the cloud) and your head office is well informed of what you are doing in your day by day.

Anyway, we understand that sometimes to write in paper helps. Specially to fix goals in your head. Our advice to use a combination. You can write down your tasks in your traditional agenda, but at the same time you can share the important stuff with the head office through the application.

The main characteristic of Working Day Suite is the flexibility, so just look for the way that suits you better. And enjoy your working day!!!

How the business applications can reduce work related stress

How the business applications can reduce work related stress

Almost everybody suffer work-related stress at some point in their working lives.  To be specific, 6 out of 10 employees suffer this long term discomfort. The psychologist Ana Hervada explains that we can prevent this kind of stress with a “correct team management and a proper organization”.

In general, the employees spend more and more hours in the office and they have more tasks to be carried out. This psychologist points that the working hours shouldn’t be that long. To work more hours doesn’t mean to be more productive at all. In fact, the result is normally the opposite!

Another key factor is that the leader should build an atmosphere of trust and motivation, making clear the tasks to be accomplished. The organization has to make sure as well that the requirements and resources are compatible. Therefore, especially when we have remote workers, we should have the tools to organize, communicate and motivate. That’s why we developed Working Day Suite, in response of these basic company’s needs. Thanks to this software built for Internalia Group, the companies can reduce working unnecessary hours because all the information is reported in real time to the head office.

Thanks to WDS is no necessary anymore to wait that the remote workers come back to the head office in order to report their work. The supervisor can double check anytime during the day if they are accomplishing the tasks and, above all, the workers can double check anytime the work planning and be informed of the last minute changes.

In short, thanks to this app, the workers can have access to task planning, can send report of their work in real time and it’s no necessary anymore to spend extra hours reporting their own work.  Consequently, the team is more relaxed and satisfied.

In terms of the supervisor, with Working Day Suite, he/she can make sure of the quantity of work assigned to each employee, if the tasks are being accomplished in time, in order to avoid deviations and to know exactly how much time has to be spent in each task. In the same way, the supervisor has to work less hours and he/she can send to their managers the reports, pictures and graphics they got during the day.

When we talk about teleworking, we have to understand that technology is the key factor to organize, communicate and motivate and, above all, for having a happy, efficient and focused team!

If you have an enterprise with remote workers, try to remember that they are the key to success. Take care of them and try to avoid unnecessary long term stress!

Three tips to manage your remote workers

Three tips to manage your remote workers

It is not always easy to transmit information and enthusiasm to your team in the office. Even more difficult when we talk about teleworking!

It’s not easy, but it’s not impossible either. If you have interest in having better and more productive relationships with your remote workers, there is always a way. Here we propose 3 very simple steps for a better long distance communication:

  • Specific tasks. The tasks should be clear and specific for everyone: for the people in the office and for the people outside the office. It is proved that employees prefer to work with very specific tasks. If our message is not very clear, they get lost and frustrated. Just try to synthesize and make sure that your employee got the message by asking. Feedback should be in your day by day.
  • Universal tools. Everyone should have the same access to information, tools and resources. Communication is key here and technology (in the case of teleworking) is our best friend. The field team management applications are the perfect channel of communication and data storage in this way of working. Just be careful when you choose the application. It has to be very easy to use and intuitive. Otherwise it would complicate the day of your team and it would generate more rejection than acceptance.
  • Flexibility: understand that the schedules should be flexible and focus in the results. It is proved that productivity changes the whole time. One day we solved an incredible amount of work and other days we are not able of accomplish one single task. Be flexible with your team and with yourself in order to get better results! Flexibility is also key if you are looking for creativity. How many times did you find the answer to one question in your ten minutes break, in a walk, in the shower, in the morning after a good sleep? Allow your brain (and your team brain) to rest and your creativity will find the answers.
How business applications can solve communication issues

How business applications can solve communication issues

Managers must deal with issues and conflicts day by day. It´s no place to hide. If something happens the manager has to deal with it!

It’s nothing bad about conflict, if you are good listener, you have empathy and some creativity: it´s nothing to fear. Having said that, in a daily basis can be exhausting. If we can reduce the number of conflicts per day, better! Here is where technology can help.

Normally when we have an argument in personal or professional life is about something subjective. It is about opinion and points of view.

If we have reliable data, it’s easier to clarify issues. With reliable data is no much to talk about, just about what we can improve or try to solve in a different way.

The field team management applications are very helpful for managers, but are even more helpful for employees because they can send proof anytime of the job done, the issues they had during the day, etc. It works in both directions: top to bottom  and bottom to top!

A good example of all this is how Working Day Suite works in the fincas in Nicaragua! In this video we can see how WDS works for Eco Planet Bamboo.
